Provider Number

A unique identifier assigned by a payer to a credentialed provider, used for claims processing, provider directory listings, and enrollment management.
Extended Explanation
A provider number is the identifier a specific payer assigns to you after you are credentialed and enrolled. It is different from your NPI, which is universal. Your provider number is payer-specific. You have a different provider number with Aetna than you do with Blue Cross or Medicaid.
When a payer approves your credentialing, they generate a provider number and issue you a welcome letter that includes this number along with your effective date and other enrollment details. Some payers call it a provider ID, a participating provider number, or a network ID. Whatever the label, it is their internal identifier for you.
You need your provider number when calling the payer about claims issues, checking enrollment status, or making changes to your enrollment. When the payer's provider services representative asks for your provider number, they mean their number, not your NPI. Having it handy saves time on every call.
For Medicare, your provider number is called a PTAN (Provider Transaction Access Number). Your PTAN is what Medicare uses internally to process your claims and manage your enrollment. Your NPI is also required on claims, but the PTAN is what links your NPI to your specific Medicare enrollment record.
Keep a master spreadsheet of all your provider numbers across every payer. Include the payer name, your provider number, effective date, re-credentialing date, and the payer's provider relations phone number. This spreadsheet is one of the most valuable administrative documents in your practice. When you need to call a payer, look up a credentialing deadline, or verify your enrollment status, everything is in one place.
If you change practice locations or group affiliations, your provider number with each payer may change. Some payers keep the same number and update the associated practice. Others issue a new number. Check with each payer when you make a practice change.
