A credentialing timeout happens when one of your verified credentials expires during the credentialing process because the process took too long. This creates a frustrating cycle where you need to re-verify something that was already verified, which adds more time, which risks another timeout. NCQA standards specify that most credentials verifications are valid for 180 days (six months) from the date of verification. If your medical license was verified on January 15 and the credentialing committee does not review your file until August, that license verification has expired and must be redone. Timeouts happen most often with payers that have long processing times or significant backlogs. If a payer takes 120 days to process your application and then asks for additional information that takes another 30 days to resolve, you are already at 150 days. Add a credentialing committee that meets monthly, and you can easily exceed 180 days from your initial verification. The verifications most likely to time out are license verifications and NPDB queries, because these are done early in the process. Board certification and education verifications are less likely to time out because they change less frequently. To minimize timeout risk, submit the most complete application possible from the start. Every request for additional information adds weeks. Make sure your CAQH profile is current and attested before you apply. Respond to any information requests within 24 hours. Follow up weekly on applications that have been pending for more than 30 days. If a timeout does occur, the CVO or payer will typically re-verify just the expired items, not redo the entire verification. But it still adds time and pushes your effective date further out. Every day of delay is a day you cannot bill that payer.
