Payer ID

A unique identifier assigned to each insurance payer, used by clearinghouses and billing systems to route electronic claims to the correct payer for processing.
Extended Explanation
A payer ID is the electronic routing number for insurance claims. Just like a bank routing number tells the banking system where to send a transaction, a payer ID tells your clearinghouse where to send a claim. Without the correct payer ID, your claim goes nowhere.
Payer IDs are five-character alphanumeric codes maintained by clearinghouses and electronic data interchange networks. Each payer has a unique ID, and some large payers have multiple IDs for different product lines, regions, or claims types. For example, Aetna might have one payer ID for their commercial plans and a different one for their Medicare Advantage plans.
When you set up a new payer in your billing system, one of the first things you need is the correct payer ID. Your clearinghouse maintains a directory of payer IDs. Most billing software has a payer ID lookup feature. You can also call the payer's provider services line and ask for their electronic payer ID.
Payer ID errors are a common cause of claim rejections. If you enter the wrong payer ID, the claim routes to the wrong payer and gets rejected because you are not enrolled with that entity. The rejection comes back looking like an enrollment problem, but the real issue is just a routing error.
Some common payer ID confusions include: using the parent company's payer ID instead of the subsidiary's, using the commercial payer ID for a Medicare Advantage claim, using an old payer ID that was retired when the payer changed clearinghouse networks, and using the payer ID for one state when the member is in a different state.
When you credential with a new payer, add their payer ID to your billing system and clearinghouse setup at the same time. Test a claim submission to verify the routing works before you start billing in volume. Catching a payer ID error on one test claim is much better than discovering it after you have submitted 200 claims to the wrong destination.
